Teclara Technologies Inc. ("Teclara," "we," "our," or "us") respects your privacy and is committed to protecting your personal data in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website at teclara.tech (the "Site"), use our services, or otherwise interact with us. It also describes your rights regarding your personal data and how to exercise them.

Our designated Privacy Officer is responsible for overseeing compliance with this policy. You may contact the Privacy Officer at any time using the details in Section 12 below.

2. Data We Collect

We may collect, use, store, and transfer different kinds of personal data about you, which we have grouped as follows:

• Identity Data includes first name, last name, username, or similar identifier.
• Contact Data includes email address, telephone number, and business address.
• Technical Data includes internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, device information, and other technology on the devices you use to access this Site.
• Usage Data includes information about how you use our Site, including pages visited, links clicked, scroll depth, navigation patterns, and interaction with page elements.
• Session Recording Data includes replays of interactions with the Site, such as mouse movements, clicks, and scrolling behaviour. Input fields are masked. We do not send meeting booking names or email addresses to website analytics. We use recordings only to understand and improve the website, not for sales or marketing.
• Communication Data includes information provided when you schedule meetings through our Site or contact us, including your work email address and any details you provide during meeting bookings.

3. How We Collect Your Data

We collect personal data through the following methods:

• Direct interactions: When you schedule a meeting through our booking system or contact us via email.
• Automated technologies: As you navigate our Site, we automatically collect Technical Data, Usage Data, and Session Recording Data through analytics tools and similar technologies (see Section 5).
• Third-party sources: We may receive Technical Data from website analytics providers.

4. How We Use Your Data

We will only use your personal data when the law allows us to and for the purposes for which it was collected. Most commonly, we will use your personal data in the following circumstances:

• To provide our services: Where we need to perform a contract we are about to enter into or have entered into with you, including scheduling meetings and delivering requested resources.
• To understand and improve the Site: We use website analytics and session recordings to see how visitors use the Site and where it needs work. We do not send meeting booking names or email addresses to website analytics or use recordings for sales or marketing. You can turn off these tools for this browser in Section 5.
• To comply with legal obligations: Where we need to comply with a legal or regulatory obligation.
• With your consent: Where we have obtained your consent to process your personal data for a specific purpose, such as sending you marketing communications.

Teclara uses AI assistance in security investigations and support work to respond faster. Some of this work uses Claude, an AI service from Anthropic, which may process information from support tickets and our client records, including names and contact details. Our Anthropic account is set so that this information is not used to train its models, and Anthropic processes it only to return results to Teclara. Like our other service providers, Anthropic may process data outside Canada.

5. Cookies and Tracking Technologies

Our Site uses cookies and similar tracking technologies to collect and track information about your browsing activity. These technologies help us analyze Site traffic, understand visitor behaviour, and improve our services.

We use the following categories of tracking technologies:

• Web analytics: We use analytics services to collect information about how visitors use our Site, including pages visited, time spent on pages, scroll depth, and navigation paths. We use this information to improve the Site's content and visitor experience.
• Session recording: We capture replays of website interactions, including mouse movements, clicks, and scrolling, to find usability issues and improve the Site. Input fields are masked. We do not send meeting booking names or email addresses to website analytics or use recordings for sales or marketing.
• Advertising measurement: We use Google Ads and Microsoft Advertising to measure whether our ads lead to visits and meeting bookings. Google and Microsoft may set cookies on your browser for this purpose. Microsoft collects or receives personal data from our Site, such as your browsing activity and identifiers like cookies, to provide, measure and improve Microsoft Advertising, as described in the Microsoft Privacy Statement. Google processes the data it receives under its own privacy policy. We do not send meeting booking names or email addresses to Google or Microsoft.
• Meeting scheduling and CRM: We use separate tools to manage meeting bookings and communicate with people who contact us. Website analytics can count a completed booking without receiving the attendee’s name or email address.

These tracking technologies may be provided by third-party service providers who process data on our behalf (see Section 6). Most web browsers allow you to control cookies through their settings. You can set your browser to refuse all or some cookies, or to alert you when websites set or access cookies. If you disable or refuse cookies, some parts of our Site may become inaccessible or not function properly.

6. Third-Party Service Providers

We share your personal data with third-party service providers who perform services on our behalf. These providers are contractually obligated to use your data only for the purposes for which we disclose it to them and to maintain appropriate security measures.

Our third-party service providers fall into the following categories:

• Web analytics providers that help us understand Site usage and visitor behaviour.
• Session recording providers that help us analyze and improve the user experience on our Site.
• Meeting scheduling and CRM providers that help us manage bookings and communicate with prospective and current clients.
• Advertising platforms that help us measure how our ads perform.
• Cloud hosting providers that host and deliver our Site.

We do not sell your personal data to third parties. We do not share your personal data with third parties for their own marketing purposes without your explicit consent.

7. International Data Transfers

Some of our third-party service providers are based in, or process data in, the United States or other countries outside of Canada. When your personal data is transferred outside of Canada, it may be subject to the laws of those jurisdictions, which may differ from Canadian privacy law.

We take reasonable steps to ensure that your personal data is treated securely and in accordance with this Privacy Policy when transferred to third-party service providers, including reviewing their privacy and security practices.

8. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected, including to satisfy any legal, accounting, or reporting requirements.

To determine the appropriate retention period, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure, the purposes for which we process the data, and applicable legal requirements.

When personal data is no longer needed, we will securely delete or anonymize it.

9. Your Privacy Rights

Under PIPEDA and applicable provincial privacy legislation, you have the following rights with respect to your personal data:

• Right of access: You have the right to request a copy of the personal data we hold about you.
• Right of correction: You have the right to request that we correct any inaccurate or incomplete personal data we hold about you.
• Right to withdraw consent: Where we rely on your consent to process your personal data, you have the right to withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.
• Right to complain: You have the right to file a complaint with the Office of the Privacy Commissioner of Canada if you believe your privacy rights have been violated.

To exercise any of these rights, please contact our Privacy Officer using the details in Section 12. We will respond to your request within 30 days, as required by PIPEDA.

10. Data Security

We have implemented appropriate technical and organizational security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way, altered, or disclosed. These measures include encryption of data in transit, access controls, rate limiting, and monitoring for unauthorized access attempts.

We limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know. They are subject to a duty of confidentiality and are required to process personal data only in accordance with our instructions.

In the event of a data breach that poses a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA's breach notification requirements.

11. Children's Privacy

Our Site and services are not directed to individuals under the age of 16. We do not knowingly collect personal data from children. If we become aware that we have collected personal data from a child without parental consent, we will take steps to delete that information promptly.
